Job Title:        Administrative Assistant
 
Report to:       Chief Executive Officer
 
Status:            Non-Exempt
 
 Qualifications:                      
  • High School Graduate or equivalent
  • Minimum of three (3) years as a secretary or administrative assistant
  • Strong computer skills (Microsoft Office; Word, Excel, PowerPoint, etc.)
  • Ability to work independently and make decisions when necessary
  • Strong, effective communication skills, both verbally and in writing
  • Possess excellent time management
  • Strong organizational skills
  • Understanding of confidentiality importance
  • Able to maintain a supportive, calm and professional attitude at all times
  • Typing a minimum of 45 words per minute
  • Follow agency policies and procedures
  • Must be able to read and write English                                 
Administration Department Duties:
  • Assist with day to day operations of administration functions and duties
  • Providing clerical and administrative support
  • Assist the CEO in the proper documentation of grant administration
  • Maintain all grant files current and notify the CEO of any grant issues/ problems
  • Develop, assist and maintain a filing system for CEO
  • Assemble interview packets for program supervisors
  • Create new hire folders and maintain current employee files
  • Perform file audits to ensure that all required employee documentation is collected and maintained
  • Assist with new hire orientation materials
  • Post job ads, organize/distribute resumes
  • Serve as a point person for all new employee questions
  • Ensure that all correspondences are typed and mailed and/or faxed when necessary
  • Maintain and purchase office supplies for the administration office
  • Maintain stock and organization of agency brochures
  • Coordinate with outside vendors for office equipment repair
  • Answer all telephone lines, transfer call or take messages when necessary
  • Review and forward information email to appropriate individuals
  • Notification to other departments of any meetings they need to attend
  • Send letters to donors when necessary
  • Type and distribute all inter-office memorandums
  • Attend all mandatory meetings/trainings
  • Assist in fundraisers, agency events or community events when needed
  • Interact professionally and respectfully with all staff, members of the agency, public and private officials, partners, and the general public
 Requirements:
  • Must have valid California Driver’s License, auto insurance, and clean driving record;
  • Fingerprinting and Drug Test (must be clean with no record);
  • Complete 40 hours Domestic Violence Training;
  • CPR and First Aid Certification;
  • Employee will be required to complete a TB Testing, Fingerprinting, Drug Screen (employment pending on drug screen)
 Hours: Monday – Friday (40 hours per week, may require varied hours)
